How to Print QR Code Labels for WooCommerce Products

Short answer: WooCommerce doesn't print QR code labels on its own, so you need a plugin for it. With Scanventory you open the Label Builder in your WordPress admin, pick a label format, check the live preview, and click Build Labels. The labels open in a new browser tab, ready to print for your whole catalog or just the products you selected.

This guide walks through the whole process, from choosing a format to fixing alignment on your first test sheet.

What kind of code does Scanventory print?

If you searched for barcode labels, note that Scanventory prints QR code labels. Each product gets its own code. Each label carries the product name and SKU, and scanning the code opens that product so you can edit its stock (Scanventory features). QR codes were developed by Denso Wave and can be read by most smartphone cameras (QRcode.com).

That matters because you don't need dedicated scanner hardware: any phone or tablet that can scan QR codes will do (Scanventory FAQ). Scanventory supports QR codes only; EAN and UPC are not supported yet. Its QR code labels are made for managing your own stock.

Before you start

  • Requirements: WordPress 5.0+, WooCommerce 5.0+ and PHP 7.4+ (installation docs).
  • Give products SKUs. The SKU is printed on the label, so it's worth filling in. You set it in the product's Inventory tab (WooCommerce variable product docs).
  • Turn on stock management if you want to track quantities. In WooCommerce > Settings > Products > Inventory, "Enable stock management" keeps managed inventory counts for physical products (WooCommerce product settings).
  • Have your label stock ready, either an Avery-compatible sheet or the paper or roll for your label printer.

Step 1: Open the Label Builder

After you activate the plugin, Scanventory adds its own top-level menu to the WordPress admin sidebar. Click Scanventory and the Label Builder opens by default (Getting Around).

The screen has two columns: configuration cards on the left and a Live Preview on the right (Label Builder). Every setting has a small purple ? that shows a short tooltip when you hover over it (Help Tips).

Step 2: Choose which products get labels

Under Label Print Options you have two choices (Label Builder):

  • All Products builds labels for every published product. This is handy the first time you label your stockroom.
  • Specific Products is for new stock or reprints. You can't pick it straight from the Label Builder. You get to it from the product list instead:
  1. Go to Products → All Products.
  2. Tick the checkboxes next to the products you need.
  3. In Bulk actions choose Build labels, then click Apply.
  4. You land in the Label Builder with Specific Products already selected and those products listed (Specific Product Labels).

Step 3: Decide what's printed on each label

Additional Label Info controls the extra text under the product name and QR code (Label Builder):

  • None: product name and QR code only
  • Price: adds the product price
  • All: adds all attribute values
  • Attribute: …: adds one specific WooCommerce attribute, such as size

If you sell variable products, set Label For Variations. Choose No for one label per parent product, or Yes for a separate label for each variation (size, colour and so on). Pick Yes if each variation sits in its own bin or bag.

Step 4: Pick a label format

Label Format is where you match the labels to your paper (Label Builder):

  • Avery-compatible presets already know how many labels fit on a sheet. Choose the one that matches your box of labels.
  • Universal works with any printer or page size. You set the grid yourself as columns × rows.

When you choose Universal, extra panels appear (Universal Options):

  • Preset quick layouts such as A4 3×8, or Custom to edit everything yourself
  • Page size (A4, Letter and so on) or an exact width and height in millimetres
  • Margins from the page edge to the label grid, and Gaps between labels
  • Size of one label cell, plus font sizes and QR code size
  • Safe area padding so text and the QR code stay clear of the cut edges
  • RTL layout for languages such as Arabic or Hebrew

The Scanventory site also lists roll printer support and layouts such as 12, 6 or 2 labels per page (Scanventory FAQ).

Step 5: Check the Live Preview

The Live Preview stays on screen as you scroll and updates whenever you change an option (Live Preview). Use Zoom − / + / Fit to look closely, and Actual size to try a 1:1 view. How accurate that is depends on your display. The template and page info line confirms which format and page dimensions are active.

Step 6: Build and print

Click Build Labels. The labels open in a new browser tab, and you print from there (Label Builder).

One rule matters more than any other here. Set browser and printer scaling to 100% and turn off "fit to page" (Universal Options). If you don't, every label shrinks a little and drifts off the sticker.

Fixing alignment after a test print

Print one sheet on plain paper first, hold it against a label sheet up to the light, and adjust:

  • Everything is shifted the same amount: change the Margins. They should match your printer's non-printable area.
  • The error grows across the page: change the Calibration scale. 1 means 100%, so tweak it in small steps (Universal Options).
  • Text is too close to the edge: increase the Safe area.

Reusing a half-used sheet

Don't throw away a sheet with only a few labels left. Set Start position to the first free row and column, and Scanventory begins filling from there (Universal Options). This works well together with Specific Products when you're labelling a small delivery.

What happens after printing

Stick the labels on products or bins. When someone scans a label with a phone, using the Scanventory app or any QR code reader app, it opens that product so they can increase or decrease stock on the spot (How it works). Changes made through Scanventory show up in the Activity Log with when, who and what changed (Activity Log).

FAQ

Can I print labels for just one product? Yes. Select it in Products → All Products, choose Bulk actions → Build labels, and click Apply. The Label Builder opens with only that product listed.

Why are my labels slightly misaligned? Usually because of scaling. Print at 100% with "fit to page" turned off. If they're still off, adjust the margins for an even shift, or the calibration scale if the error grows across the page.

Does Scanventory support EAN or UPC codes? Not yet. Scanventory currently works with QR codes only: it prints a unique QR code label for each product, made for QR code scanning with a phone to manage your own stock.
