WooCommerce Inventory Manager
This guide covers the modernized Scanventory admin: Label Builder with live preview, Stock Rules, Activity Log, Inventory Report, and in-admin help tips on every option. Screenshots below are taken from the current plugin UI.
Install Scanventory like any other WordPress plugin:
- Unzip the package you downloaded from CodeCanyon.
- In WordPress admin go to Plugins → Add New → Upload Plugin and upload
woocommerce-scanventory.zip (the folder inside must be named woocommerce-scanventory).
- Activate the plugin. WooCommerce must already be installed and active.
- Open Scanventory in the WordPress admin sidebar to reach the Label Builder and other screens.
Requirements: WordPress 5.0+, PHP 7.4+, WooCommerce 5.0+ (tested with current WooCommerce releases).
Scanventory has its own top-level menu in the WordPress admin sidebar. Open Scanventory to reach:
- Label Builder — configure and print QR product labels (default).
- Stock Rules — restore stock on cancelled orders and enable the invoice system.
- Activity Log — history of stock changes made through Scanventory.
- Inventory Report — printable stock overview.
Each screen keeps the branded purple header and icon tabs for quick switching.

Every setting label includes a small purple question mark ?. Hover (or focus with the keyboard) to see a short tooltip explaining what that option does.

Use these tips for a quick reminder while working; this documentation expands on the same options with screenshots.
The Label Builder is a two-column layout: configuration cards on the left, Live Preview on the right. Click Build Labels when you are ready — labels open in a new browser tab for printing.

Product Options

Label Print Options ?
All Products builds labels for every published product.
Specific Products is available only after you select products on the Products list and choose Bulk actions → Build labels (see Specific Product Labels).

Additional Label Info ?
Extra text printed on each label:
- None — product name and QR only
- Price — include the product price
- All — include all attribute values
- Attribute: … — include one specific WooCommerce attribute

Label For Variations ?
No — one label per parent product.
Yes — a separate label for each variation (size, color, etc.).
Label Format & Layout

Label Format ?
Choose a ready-made Avery-compatible sheet, or Universal configurable for any printer/page size. Preset formats already include how many labels fit per sheet. Universal uses Columns × Rows under Spacing & Dimensions.
Each card has Reset to Default and a collapse toggle so you can focus on the sections you need.
When Label Format is set to Universal, additional panels appear so you can match any label stock or thermal printer.

Format extras (Universal only)
- Preset ? — Quick layouts such as A4 3×8. Loads page size, margins, grid, and label size. Choose Custom to edit everything yourself.
- Page size ? — Named paper (A4, Letter, etc.). Leave blank to use width/height only.
- Page width / height ? — Exact page size in millimeters.
Spacing & Dimensions
- Margins ? — Top, Right, Bottom, Left space from the page edge to the label grid (mm). Match your printer’s non-printable area.
- Gaps ? — Horizontal (X) and vertical (Y) space between labels (mm).
- Grid ? — Columns and Rows on one page (labels per sheet for Universal).
Label Properties
- Size ? — Width and height of one label cell (mm).
- Start position ? — First row/column to fill. Useful when reprinting on a partially used sheet.
Content & Typography
- Fonts ? — Name size and body text size in points.
- QR code ? — Printed QR size in millimeters.
Advanced Settings
- Safe area ? — Inner padding so text/QR stay clear of cut edges.
- Calibration scale ? — Fine-tune print scale after a test print (
1 = 100%).
- RTL ? — Right-to-left layout for languages such as Arabic or Hebrew.
Always print with browser and printer scaling set to 100% (no “fit to page”).
The sticky Live Preview on the right updates as you change options so you can verify layout before printing.
- Zoom − / + / Fit — Inspect the sheet closely or fit it to the panel.
- Actual size — Attempt 1:1 on-screen sizing (depends on display DPI).
- Template / page info — Shows the active format and page dimensions.
Hover the ? next to Live Preview for a short reminder about scaling.
To print labels for only some products:
- Go to Products → All Products.
- Select the products you need with the checkboxes.
- In Bulk actions choose Build labels, then click Apply.
- You are taken to Label Builder with Specific Products selected and those products listed.
- Adjust format options if needed, then click Build Labels.

Open the Stock Rules tab to manage inventory behavior and the invoice feature.

Restore Stock ?
When checked, stock is automatically returned if a customer cancels an order.

Invoice Enable/Disable ?
Enables the mobile invoice / quote workflow: scanned products can be collected and emailed as an invoice.
Click Save Changes after updating these options.
The Activity Log lists stock updates performed through Scanventory.

- When — date and time of the change
- Who — user who made the update (links to their profile)
- What — description of the change, with a link to the product
If nothing has been logged yet, an empty-state message explains that updates will appear here after stock changes.
The Inventory Report tab provides a stock overview you can review or print from the browser.

Use it for counts, audits, and a quick check of SKUs and quantities across your catalog.
Scanventory’s mobile flow lets staff scan product QR codes to adjust stock. With Invoice enabled under Stock Rules:
- Scan products into a temporary quote/invoice list (cookie-based session on the device).
- Review quantities on the mobile invoice screen.
- Send the invoice email through WooCommerce’s email system (Scanventory Invoice email).
This invoice list is separate from WooCommerce orders — it is a lightweight quote/invoice helper for floor staff, not a replacement for the checkout order system.
